Shopify orders show up on your board automatically

6 minute read

If you sell through a Shopify store, Broidry can bring those orders in for you. Connect once, and every paid Shopify order shows up on your board as a paid order, with the buyer's name and email, the items, and every personalization line the buyer typed at checkout already filled in.

Shopify cannot change a personalization after the buyer pays. Broidry can. When a buyer writes back that it's Kaitlynn with two n's, you fix the words on the order here, and that is the version your work sheet prints.

There is nothing to forward and nothing to remember. Shopify sends each new order over as it happens, and Broidry also checks your store every hour in case one is missed. You can press a button to check right away.

Set it up

The connection uses an app you make inside your own Shopify account. It takes about five minutes, it is free, and nothing goes to Shopify for review. The steps below are the same ones printed on the Shopify card on your Import page.

  1. 1In your Shopify admin, open Settings, then Apps.
  2. 2Press "Develop apps", then "Build apps in Dev Dashboard". The Dev Dashboard opens in a new tab.
  3. 3Press "Create app". Under "Start from Dev Dashboard", type a name (Broidry works), then press "Create".
  4. 4In the URLs section, leave the app URL as Shopify filled it in. In the "Webhooks API Version" box, pick 2026-10.
  5. 5In the Access section, type these three, one at a time: read_orders, read_customers, read_products.
  6. 6Press "Release", then press "Release" again on the box that opens.
  7. 7In the Installs section, press "Install app", pick your store if it asks, then press "Install".
  8. 8Open the app's Settings page. It shows a Client ID and a Client secret.
  9. 9In Broidry, open the Import page and find the Connect Shopify card. Type your store address (it ends in .myshopify.com), paste the Client ID and the Client secret into their boxes, and press "Connect Shopify".
  10. 10The card says which store connected. From then on every paid order placed on that store comes onto your board.
Note: If your app was made in the Shopify admin before January 2026, it shows an "Admin API access token" instead of a Client ID. On the card, press "My app shows an Admin API access token instead" and paste that token. Shopify shows that token once, when the app is installed; if you no longer have it, open the app under Settings, Apps and sales channels, Develop apps, press "Uninstall app", then "Install app", and copy the new one.

If the card says Shopify answered with an error

The card prints Shopify's own answer, so you can see what to fix. "Client credentials cannot be performed on this shop" means the app is not installed on this store yet: go back to the Dev Dashboard, open the app, press "Install app" under Installs, and try again. A 401 means the Client ID or Client secret was pasted wrong. A 403 means the app is missing one of the three permissions: add it under Access, press "Release", then "Install app" again.

Good to know

Orders arrive marked paid, because the buyer already paid on Shopify. The amount is recorded as a Shopify payment, so your money numbers stay truthful. An order that has not been paid yet (a pending or authorized checkout) waits, and comes in the day it is paid.

Every personalization the buyer typed at checkout is on the order: the lines show on the order page under the item, on the work sheet, and in the custom request box.

When an order is edited on Shopify after it reached your board (a new note, a changed address, a changed name), Broidry does not overwrite what you have here. It adds a dated block to the order's notes that says what changed and what it was before, and posts the same lines in the order's conversation, so you decide what to do with it.

Your buyers do not get extra emails. Shopify already sent them an order confirmation, so Broidry stays quiet: no second receipt, no duplicate order updates, no review ask. You can still message a buyer about their order from the order's conversation.

When Shopify marks an order fulfilled, the matching order here closes itself, with the tracking number copied on. If an order is canceled on Shopify, Broidry tells you instead of changing anything on its own.

Orders placed before you connected stay off your board. Broidry has no way to tell which of those you already finished, and a finished order sitting on your board is work you have to clear by hand. To bring your past history in as customers and records rather than as work, use the Shopify file upload on the same Import page.

If Shopify ever turns down one of Broidry's checks, the Shopify card on the Import page shows a box that says Shopify turned down the last check, with Shopify's own answer under it and the boxes to connect again. Paste the app's current Client ID and Client secret there and press "Connect Shopify"; the orders placed while it was down come onto your board with the next check. Leave "Disconnect" alone for this: disconnecting starts the connection over, and the orders from while it was down would then count as orders from before you connected and stay off the board. Broidry also emails you when a check fails, once, and again two weeks later if it is still failing.

Note: This connection covers orders going forward. The Shopify file upload on the Import page fills in your past; the connection keeps your present current.
